This notice explains what this website collects, why, and the choices you have. It is written with the South African Protection of Personal Information Act (POPIA) in mind.
What we collect
When you send an enquiry we receive the details you type into the form: your name, email address, organisation, the topic of your enquiry, any archive reference codes and your message. To protect the form from abuse we also record the network address and browser type the enquiry was sent from.
The shortlist feature stores the records you save in your own browser only. That list never leaves your device unless you choose to include it in an enquiry.
Why we use it
We use enquiry details only to answer you, prepare quotes and licence agreements, and keep a record of the correspondence. We do not add you to a mailing list and we do not sell or share your details with third parties for marketing.
Where it goes
Enquiries are kept in the library’s enquiry records on the web server and are delivered to the library team by email through our email provider. Both are handled by Aquavision and the service providers that host this website and our email.
How long we keep it
Enquiry records are kept for as long as needed to deal with your request and to meet our business and legal record-keeping obligations, after which they are deleted.
Cookies and analytics
This website does not set tracking cookies and does not use third-party analytics. Standard server logs are kept briefly for security and troubleshooting.
Your rights
You may ask what personal information we hold about you, ask us to correct it, or ask us to delete it. Send your request through the contact page. If you are not satisfied with our response you may complain to the Information Regulator of South Africa.
